1. Use of Employee Locker Procedure

1.1 Purpose statement

This procedure defines the standards and guidelines for the acceptable use of lockers during an employee’s term of employment as well as establishes a procedure to outline when the employer will carry out a locker inspection.

1.2 Scope

This procedure applies to all Fiber Group employees including, but not limited to, full-time, part-time, volunteers, temporary and interns, who are assigned lockers at any town facility.

2. Procedure

2.1 Compliance

Fiber Group resources must be used in compliance with applicable laws or regulations, professional standards, and corporate policies and procedures.

Employees in full-time and seasonal positions may be provided or assigned one locker by the company for the storage of personal items during their employment. Additional lockers may be granted at the discretion of management.

Management has the right to determine if lockers will be secured with company-owned locks or allow the use of personal locks.

Fiber Group is not responsible for any valuables or belongings left inside the lockers. This includes cell phones, jewelry, cash, etc.

Use of a locker by a person other than to whom it is assigned is prohibited.

2.2 Terms of use

  • Employees may be assigned one locker at the company following a request submitted to management.
  • Employees must leave all digital devices and digital supports such as smartphones, smartwatches, pen drives and HDDs in the lockers at the beginning of the work session and recover only at the end of the same.
  • Employees who work seasonal shifts at alternate facilities may request an additional locker during their shift duration.
  • Employees who accept a contract position exceeding four months are required to leave their locker location and empty the contents of their locker.
  • All employees must vacate the locker at the end of their employment term.

2.3 Health and safety

Flammable material, dangerous chemicals, explosives or weapons of any kind are strictly prohibited inside the lockers.  Food and perishables may not be stored inside lockers.

2.4 Personal use

Items stored or displayed in lockers shall be in accordance with the Employee Code of Conduct and Respectful Conduct Policy and Procedure, and as such must be free from discrimination, harassment, sexual harassment, workplace conflict or any other material that could be deemed as inappropriate or offensive.

3. Preserving assets

Employees are not permitted to modify lockers or affix anything to the interior or exterior of their lockers.

3.1 Inspection

Unacceptable clothing includes, but is not limited to, T-shirts; jeans; short tracksuits, shorts or sweatpants, short jeans, swimming costumes, tank tops, skirts that are too short; clothing that is too tight, too small, see-through or revealing, revealing or provocative clothing; or any clothing that promotes products and/or services of companies other than ours; and sneakers, flip-flops, beach shoes or flip-flops.

3.2 Inspection Process

  • Inspection will be carried out in the least intrusive manner possible under the circumstances;
  • Employees, or their designate, are entitled to be present during an inspection, where possible;
  • Inspection will be carried out in the presence of a witness;
    • Inspection of lockers will be carried out as follows;
  • Photographs of contents may be taken at the discretion of management;
  • Any illegal substances found in the locker will be turned over to appropriate authorities;
  • Any results of the inspection will be kept confidential and not be disclosed except to the employer’s agents, appropriate authorities or as may be required by law.

3.3 Removal of items from lockers

In the event the employee terminates his or her employment without notice, management or their designated employee shall empty the locker and take an inventory of the contents.

The contents of the locker will be made available to be picked up the day the employee’s last pay cheque is made available. Items not picked up at that time will be handled in accordance with the Fiber Group Lost and Found Procedure

4. Consequences of non-compliance

Misuse of a locker may lead to termination of locker privileges. Users who fail to comply with this procedure and associated guidelines may be subject to disciplinary action up to and including dismissal, early termination of contract or other sanctions as applicable. Lockers are a privilege, not a requirement.

4.1 Definitions

Personal items: privately owned items (such as clothing and jewelry) normally worn or carried on the person.

4.2 Responsibilities

Employees:

  1. adhering to Use of Employee Lockers Procedure and all underlying requirements;
  2. reporting any known or suspected violations to the immediate supervisor or manager.
  3. ensuring that any town owned equipment is returned to the town.

4.3 Management:

  1. making employees aware of the Use of Employee Lockers Procedure and all underlying requirements, and reporting any contraventions of the procedure;
  2. ensuring that access rights of employees are issued or revoked in a timely manner when changes are required;
  3. ensuring that any Fiber Group owned equipment is returned to the Fiber Group.

5. Locker Policy and Agreement

Use of the Fiber Group lockers is a privilege. It is the policy of Fiber Group to provide lockers to employees.

Upon hiring a locker is assigned to the Employees together with other job-related utilities.

Fiber Group cannot be held responsible for lost, stolen or damaged personal property. By signing the Locker Use Agreement (below), employees agree to abide by the terms and conditions set forth by the Human Resources Department outlined below:

  1. All lockers are the property of Fiber Group.
  2. Use of a locker by a person other than to whom it is assigned is forbidden. Misuse of a locker may lead to termination of locker privileges.
  3. Fiber Group reserves the right to open a locker without the consent of the employee to whom the locker is registered in instances where locker procedures are being abused or in the case of an emergency situation.
  4. Flammable materials, dangerous chemicals, explosives or weapons of any kind are strictly prohibited inside the lockers.
  5. Perishable items, illegal or controlled substances such as drugs or alcohol are also strictly prohibited inside the lockers.
  6. Employees are not permitted to affix anything to the interior or exterior of their lockers.
  7. Upon assignment and during use, employees are responsible for reporting any damage or needed repairs to Fiber Group. Employees will assume the cost of any unreported damages.
  8. All personal items must be stored completely within a locker. All items left outside of a locker, whether secured or not, will be removed and disposed of accordingly.
  9. The locker agreement is revisited every September 1st. Every employee must renew their agreement at this time. Lockers not renewed will be cleaned out and all contents turned over to Security.
  10. Employees must leave all digital devices and digital supports such as smartphones, smartwatches, pen drives and HDDs in the lockers at the beginning of the work session and recover only at the end of the same.
